What data do we process?
- WhatsApp: if you send us a WhatsApp message, we process your phone number, name (as you use it in WhatsApp) and the content of your message.
- Contact form and email: your name, email address, phone number (if you fill it in) and your question.
- Registration as a client: the data you enter in our client portal from James Software, such as name, address, date of birth, contact details and the answers to the health questionnaire (contraindications).
- During a programme: appointments, session data and, for the recovery programme, measurement results such as cognitive tests and questionnaires.
- Website visits: with your consent, data about how you use the website, via Google Analytics and Google Ads.
Health data are special categories of personal data. We only process them when necessary to work with you safely, and only with your explicit consent.
What do we use your data for?
- To answer your question and contact you.
- To plan and safely carry out your intake, sessions and programme.
- To assess whether there are any contraindications.
- For our administration and legal obligations, such as tax legislation.
- To improve our website and advertisements, only if you give your consent.
We only use measurement data from the recovery programme in anonymised form for scientific analysis, and only if you have given consent.
Who do we share data with?
We never sell your data. We work with service providers that process data on our behalf, such as James Software (client portal), Microsoft (email), WhatsApp/Meta (if you contact us via WhatsApp), Mijndomein (website hosting) and Google (statistics and advertising, only with your consent). We have made agreements with these parties about security and confidentiality. Within a multidisciplinary programme, we only share data with our partners if you give consent.
How long do we keep data?
We do not keep data longer than necessary for the purpose for which we collected it, or for as long as the law requires. We keep messages sent via the contact form for a maximum of one year, unless you become a client. We keep financial data for seven years, as required by Dutch tax law.
Cookies
Our website uses functional cookies and local storage to make the site work properly and to remember your cookie choice. Only if you give consent do Google Analytics and Google Ads place cookies to measure visits and improve advertisements. We only load YouTube videos when you click play yourself, and then we use the privacy-friendly version (youtube-nocookie.com). You can change your choice at any time via the Cookie settings link at the bottom of every page.
Your rights
You have the right to access, correct or delete your data. You can also object to the processing, have the processing restricted, or have your data transferred. You can withdraw consent at any time. Send your request to info@theoxygenwellnesslab.nl. We will respond within four weeks.
Security
We take appropriate measures to protect your data against loss and unauthorised use, such as encrypted connections (https) and secured systems with access control.
Complaints
Are you not satisfied with how we handle your data? Let us know. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
